Create and Send a Quote with Quote Wizard
Build a quote from client setup through products, scope, review, approval, and client delivery using Scopable Quote Wizard.
Prerequisites
- Access to create quotes in Scopable
- A client record for the quote
Quote Wizard keeps the client, environment, products, scope, pricing, and delivery review in one quote workflow. The available steps can vary by account features and quote type, but the standard workflow includes Setup, Environment, AI Assistant, Scope of Work, Products, and Review.
Start a quote
- Open Quotes and select New quote.
- Choose the client.
- Enter a clear quote title.
- Select the opportunity, contact, and site when they apply.
- Save the draft and continue through the wizard.
The quote remains a draft while you build it. Complete client and recipient details before sending so the public quote reaches the correct person and reflects the correct sales opportunity.
Review the client environment
Use Environment to review client configurations and other context available to the quote. Attach only the records that are relevant to the proposed work.
Synced environment data can be older than the provider record. Check source timestamps when the proposal depends on current device counts, services, or configuration details.
Use the AI Assistant
The AI Assistant can help summarize available client context, organize requirements, and prepare quote content. Treat its output as a draft.
Verify every client fact, product assumption, quantity, and commercial statement before it becomes part of the quote. Do not enter provider credentials, passwords, or other secrets into a prompt.
Write the scope of work
Use Scope of Work to explain what you will deliver, what is excluded, client responsibilities, timing, assumptions, and acceptance conditions.
Save meaningful revisions as you work so your team can distinguish the current scope from an earlier draft. Review the final scope against the products and labor on the quote before sending.
Add products, labor, and shipping
Use Products to add the commercial line items for the proposal. Depending on the quote, line items can include products, labor, and shipping.
For each line item, confirm:
- Description and quantity.
- Cost, price, and margin.
- One-time or recurring billing.
- Billing frequency and term when applicable.
- Client-facing notes or grouping.
Scopable summarizes recurring revenue as MRR and one-time revenue as NRR. TCV combines twelve months of MRR with NRR. Confirm that the billing terms on the line items match the commercial terms in the scope and client-facing quote.
Choose the client-facing layout
Select the appropriate Quote Designer template for the quote. If you do not select a quote-specific template, Scopable uses the tenant default.
See Select a template for a quote for the selection and fallback behavior.
Review before approval or sending
Use Review to inspect the complete proposal. Confirm:
- Client, opportunity, contact, and site.
- Quote title, dates, and expiration.
- Products, quantities, pricing, discounts, and margins.
- Scope, assumptions, exclusions, and client responsibilities.
- Billing terms, MRR, NRR, and TCV.
- Template, branding, public view, and PDF output.
If your account uses approval rules, complete the required approval before sending. Approval eligibility and pricing access are controlled by user permissions.
Send the quote
When the quote is ready and any approval is complete, use the available delivery action to send or share the client-facing quote. Scopable creates a public quote experience for the recipient and can generate a PDF from the selected layout.
Open the public view yourself before delivery. Check it on a narrow screen as well as a desktop-sized screen when layout or long tables matter.
Troubleshooting
A wizard step is missing
Steps can depend on account features, quote type, and permissions. Save the quote, refresh the page, and confirm your access with an administrator.
I cannot change pricing
Your Change Quote Pricing permission may be denied by a user setting, permission group, or role default. Ask an administrator to review your user permissions.
Client data is missing or stale
Confirm that the client is mapped to the relevant connected source and that its latest sync succeeded. Do not present older synced data as current without checking the source timestamp.
The public quote or PDF has the wrong layout
Confirm the quote-specific Quote Designer selection and the tenant default. Preview the quote again after saving the selection.
I need to reuse an earlier quote
Use Duplicate from the Quotes list, then review the new draft. See Duplicate quotes and reuse prior quote details for what is copied and reset.
