Manage Users and Quote Permissions

Invite users, manage account access, assign permission groups, and control who can change quote pricing, approve quotes, or mark quotes as won.

Prerequisites

  • A Scopable account with permission to manage users

Use Settings > Users to invite people to your Scopable account, change their access, and manage quote-specific permissions. User permissions affect what someone can do in Scopable. They do not change which client records that person is allowed to see.

Invite a user

  1. Open Settings, then select Users.
  2. Select Invite user.
  3. Enter the person's name and email address.
  4. Choose the appropriate role and any permission groups.
  5. Select Send invitation.

The invited user appears as pending until they accept. Open the pending invitation to resend it or cancel it if the email address was wrong or access is no longer needed.

Edit a user

Open a user from the Users table to review and change their details. Depending on your permissions, you can:

  • Update their name and role.
  • Add or remove permission groups.
  • Allow them to approve quotes.
  • Set user-specific quote permissions.
  • Disable or reactivate access.
  • Export or delete the user record.

Users can update their own personal details from My Profile. They cannot grant themselves additional permissions.

Control quote approval eligibility

Turn on Quote Approver when the user should be available as an approver in quote approval workflows. Turning this on makes the person eligible to approve. It does not automatically require their approval on every quote.

Use your approval rules to decide when approval is required and which eligible approver should receive it.

Set quote permissions

Scopable provides specific controls for sensitive quote actions:

PermissionWhat it controls
Change Quote PricingWhether the user can change prices, discounts, costs, or other protected pricing values.
Manually Mark WonWhether the user can mark a quote as won without the normal client acceptance path.

Each permission can be set to:

  • Role Default: use the access assigned by the user's role.
  • Allowed: grant the action to this user.
  • Denied: block the action for this user.

A user-specific setting takes priority over a permission-group or role default. If the user has competing permission-group rules, a denial takes priority.

Use permission groups

Permission groups let you maintain the same defaults for several users. For example, you can create a group for sales staff who may prepare quotes but may not change protected pricing.

  1. Open the permission-groups area from Settings > Users.
  2. Create a group and give it a clear name.
  3. Set the group's quote permissions.
  4. Add the relevant users.

Use groups for repeatable defaults. Use a user-specific override only when one person needs an exception.

Disable, reactivate, or delete a user

Disable a user when access should stop but the account history must remain. Reactivate the user when access should resume.

Delete a user only when the record should be removed and the interface confirms that the action is available. Review any warning before continuing. Deleting a user is different from cancelling a pending invitation.

Troubleshooting

I cannot open or edit the Users page

Your account does not have permission to manage users. Ask a tenant administrator to make the change.

A user still cannot change pricing

Open the user's details and review the user-specific setting, every assigned permission group, and the role default. A user-level denial takes priority, and a denial in one competing group takes priority over an allowance in another group.

A user does not appear as a quote approver

Confirm that Quote Approver is enabled for that user and that the account is active. Then review the approval workflow that selects the approver.

An invitation was sent to the wrong address

Cancel the pending invitation and create a new invitation with the correct email address.
