How the Scopable trial, seat counting, checkout, invoices, and payment recovery work, and what to do when billing needs attention.

Before you begin

Billing lives in Settings → Billing. You need the manage billing permission to start checkout, change a payment method, or cancel. Everyone else on the tenant can see the current billing state and a message pointing them at an admin, but not invoices or receipt detail.

Scopable has one plan, Scopable Platform. There is no feature gating between tiers, so the only decisions are how many seats you have and which commitment you pick.

The 14-day trial

Signing up starts a 14-day trial with full access to the plan. No credit card is required to start.

The trial end date on your tenant is the authoritative date. On day 15, a tenant with no active or trialing subscription is blocked from the product. Blocking is deliberately narrow: Billing, Profile, and Logout stay reachable so an admin can pay and recover without help from support.

An expired free trial has no grace period. That grace window applies to failed renewals on a paying subscription, not to trials that were never paid.

Set up billing before the trial ends

You do not have to wait for day 14. Starting checkout during the trial:

  1. Creates the subscription immediately.
  2. Collects and stores your payment method.
  3. Preserves the trial end date you already have.

You are charged when the trial ends, not when you enter the card. Setting up early is the safe move. It removes any chance of a day-15 block while someone is mid-quote.

If your trial has already expired, checkout will not reopen it. You start paid access from the day you complete checkout.

Pricing and commitment

Both options bill monthly. The 12-month commitment is not annual prepayment. You get the lower per-seat rate in exchange for the term, and you still receive a monthly invoice.

You choose the commitment during checkout. The price is resolved on the server from the Scopable catalog, so what you are charged always matches the option you selected.

How seats are counted

Every active member of your tenant with a live profile is one billable seat. Role does not change this: owners, admins, engineers, and read-only users all count the same. Your clients and their contacts are never counted.

The subscription quantity follows your current member count, with a minimum of one seat. Add a team member and the seat count goes up; deactivate one and it comes back down.

If your seat count looks wrong, check your member list in Settings first. The invoice reflects active memberships, not invitations that were never accepted.

Invoices, receipts, and payment methods

Invoices and receipts come from Stripe and appear in Settings → Billing. Invoice history is scoped to the tenant you are currently in, so switching tenants shows that tenant's records.

To change something yourself, open the Stripe Customer Portal from the Billing page: update a card, download an invoice, change the billing address or Tax ID, or cancel. The portal is the self-serve path for all of it.

Sales tax is calculated by Stripe at checkout based on the address you provide. Enter your billing address and Tax ID accurately, since that is what drives the tax on every invoice after it.

When a payment fails

Stripe retries a failed charge on its own schedule. Alongside that, Scopable runs a 7-day recovery window and emails your billing admin or tenant owner on days 1, 3, 5, and 7.

If payment has not been recovered by day 8, the tenant is blocked. This is the same narrow block as an expired trial, with Billing, Profile, and Logout still reachable. Updating the payment method and completing payment clears the block automatically. You do not need to contact support to be unblocked.

Cancelling and coming back

Cancel from the Stripe Customer Portal. Cancellation takes effect at the end of the period you already paid for, so access continues until then and a Reactivate action stays available on the Billing page up to that date.

After the subscription fully cancels, starting billing again returns you to the Scopable Platform plan. Your tenant data is not deleted by cancelling.

Billing states you might see

Troubleshooting

I am blocked and I do not know why. Open Settings → Billing. The page states whether the cause is an expired trial or a failed payment, and the recovery action is on that page.

The billing actions are hidden or disabled. You do not have the manage billing permission, or the page has not finished loading your subscription state. Scopable deliberately disables paid actions while billing state is unknown rather than guessing.

I paid but the page still says I am not active. Checkout can redirect back before the payment event reaches Scopable. The page shows a confirming state and refreshes on its own. If it has not settled after a minute, reload the Billing page.

My saved payment method shows as missing. Some payment method types do not report card brand and last four digits, so the Billing page can read as "no payment method on file" even though the subscription is paying normally. Confirm the real state in the Stripe Customer Portal. This is a known display issue and does not affect billing.

I need more time before paying. Get in touch through Contact before your trial ends rather than after you are blocked.
